Job Description

Position Summary:

In the Personal Assistant & Household Manager position, you will have the opportunity to showcase your expertise in executive support in a fast-paced home office and household environment. Strong organization skills, attention to detail and the ability to anticipate needs and offer solutions to challenges with a high level of professionalism and confidentiality are a must.

Skills Needed:

  • Advanced proficiency in the Microsoft Office Suite, Outlook and QuickBooks (or similar financial software).
  • High degree of professionalism, integrity and discretion with proven ability to build trusting relationships.
  • Effectively collaborate and work productively with others to meet shared objectives; Put others at ease, build rapport and show empathy.
  • Well-organized with strong attention to detail; ability to manage multiple, competing priorities in an effective and flexible manner.
  • Demonstrated experience completing projects independently, while anticipating future needs.
  • High level of initiative, judgment, and creativity when solving problems; Making informed, timely decisions or recommendations; ability to flex and quickly shift priorities.
  • Results oriented, diligent with a strong work ethic, and willingness to stretch beyond comfort zone to assume new responsibilities when needed.
  • Excellent written and verbal communication skills.

What You’ll Do and Impact:

  • Provide calendar, mail and telephone management . Prioritize requests, address scheduling conflicts, manage meeting logistics, prepare and manage calendars, etc.
  • Plan and coordinate meetings and events of all sizes.
  • Review email and determine action steps and respond as needed . Compose, proofread, edit, or reply to correspondence or materials.
  • Maintain and enhance organizational system and file and organize materials for ease of future access.
  • Manage and arrange for domestic and international travel . Prepare folder with all trip information and itineraries.
  • Arrange for and manage household repairs and other needs at multiple properties. Order equipment and products for residence(s) and attend to local errands.
  • Serve as an escalation point for household staff and escalate for input as needed.
  • Work closely with other home office team members and Executive Assistant to coordinate family commitments with work events.
  • Invest in developing deep knowledge of household programs and processes to support effectively , proactively anticipate future needs, and recommend and implement process improvements.
  • Other duties and projects as assigned.

Experience:

  • Bachelor’s degree
  • 5+ years administrative or executive assistant experience

Additional Items of Interest:
